What the free checklist maker can do
The tool is built for anyone who wants a list that is easy to start, easy to follow and easy to hand to someone else. These are the main features.
78 templates
Daily planner, moving house, wedding planning, website launch, exam revision, food safety, IT setup, job applications and many more, in over 40 categories.
Pick only the steps you need
Before a template is added you can untick steps, rename the list and spread due dates from a start date.
Subtasks and notes
Break big tasks into smaller ones, add notes, labels, a category and a priority. Progress bars show how far each task has come.
Paste a whole list
Copy a list from Notes, WhatsApp, Word or Markdown and paste it. Each line becomes a task, and indented lines become subtasks.
Board view
See tasks in three columns: To do, In progress and Done. Drag cards between columns on a computer, or use the arrow buttons on a phone.
Bulk actions
Select several tasks to complete them, change their priority, move them to another list or delete them in one step.
Print and PDF
Print a checklist with your progress, or a blank printable checklist with empty boxes and a name and date line.
Share by link
The checklist is packed into the link itself, so the person you send it to gets their own copy without any account.
Exports
Full backup (JSON), spreadsheet (CSV), plain text, Markdown, calendar file (.ics) for due dates, and copy-as-text for chat apps.
Undo everything
Every change can be undone and redone, so it is safe to experiment, bulk-delete or reorganise.
How to make a checklist, step by step
- Name your checklist. Press + New list in the left panel, or use List settings to rename the one that is open.
- Add tasks. Type a task and press Enter. Add a category, priority or due date in the boxes beside it, or type shortcuts such as
!highand@tomorrowstraight into the task. - Or start from a template. Scroll to the template library, search for what you are doing, untick steps you do not need and press Create new checklist.
- Break big tasks down. Press + Subtask under any task, or edit the task and type one subtask per line.
- Work through it. Tick tasks off, mark one as in progress with the ▶ button, and use the filters to see only what is due today or overdue.
- Print, export or share. Use Print for paper or PDF, Export for files, and Share for a link.
Typing shortcuts that save time
You can set most details without touching a menu. Type them anywhere in the task name; they are removed from the title and turned into settings.
| Type this | What it does | Example |
|---|---|---|
!high, !low, !med | Sets the priority | Pay rent !high |
#label | Adds a label you can search for | Email supplier #client |
+Category | Sets the category | Buy paint +Home |
@today, @tomorrow | Due today or tomorrow | Call bank @today |
@mon … @sun | Due on the next matching weekday | Team meeting @fri |
@+3, @+2w, @+1m | Due in 3 days, 2 weeks or 1 month | Renew licence @+1m |
@2026-12-01 or @25/12 | Due on an exact date (day/month) | Send cards @20/12 |
Keyboard users can press N to jump to the task box, / to search, B to switch between list and board, and Ctrl + Z or Ctrl + Y to undo and redo.
Checklist templates for work, home and school
A good template saves you from forgetting the obvious step. The library covers everyday life as well as specialist jobs. Here is a sample:
| Area | Templates include |
|---|---|
| Personal and home | Daily planner, weekly reset, monthly goals, habit tracker, home cleaning, grocery shopping, moving house, home renovation, garden planting |
| Study and career | Study session, exam preparation, research assignment, course creation, job application, job interview preparation, new employee onboarding |
| Business and marketing | Business launch, small business operations, freelance client onboarding, e-commerce store setup, social media campaign, email newsletter, SEO content publishing |
| Events and travel | Wedding planning, wedding guest management, conference or workshop, event day operations, accessibility-friendly event, travel planning, camping trip, road trip |
| Food and hospitality | Restaurant opening, opening shift, food safety audit, daily food safety check |
| IT and digital | Website launch, app release, accessibility audit, cybersecurity review, incident response, data backup and recovery, personal digital security |
| Finance and admin | Personal budget, invoice processing, tax document preparation, privacy policy review, grant application |
| Property, energy and farming | Rental inspection, rental move-out, vehicle maintenance, solar installation and maintenance, crop season, farm equipment maintenance |
When you choose a template you can also set a start date and the number of days between steps. The checklist maker then gives each step its own due date, which turns a template into a simple project plan in one click. Made a list you will use again? Press Save as template and it appears in the library marked “Yours”.
List view or board view?
The list view is best for step-by-step work such as packing, inspections and routines, where order matters. You can reorder tasks by dragging them on a computer or with the ↑ and ↓ buttons on a phone.
The board view works like a small Kanban board. It suits projects where several things happen at once: you can see at a glance what has not started, what you are working on and what is done. Moving a card to Done ticks it off; moving it back reopens it.
Print a checklist or save it as a PDF
Press Print and choose one of two layouts:
- Checklist with progress shows ticks for finished tasks, crossed-out titles and a “7 of 12 complete” summary. Useful for handovers and reports.
- Blank printable checklist prints every task with an empty box, plus name and date lines. Useful for inspections, cleaning rotas, shift checklists and classroom routines.
To get a PDF file, choose Save as PDF as the printer in your browser's print window. The print layout contains only the checklist, not the rest of this page.
Share and export your checklist
Press Share to create a link. Your checklist is compressed into the part of the link after the # sign, which browsers do not send to the website's server. The person who opens the link sees a preview and can add the checklist to their own list. You can choose to share it with all boxes unticked, which is handy for sending the same checklist to a team. Changes are not synced afterwards: each person has their own copy.
| Format | Best for |
|---|---|
| Full backup (.json) | Moving everything to another browser or computer, or keeping a safe copy |
| Spreadsheet (.csv) | Excel, Google Sheets, reporting |
| Plain text (.txt) and copy-as-text | WhatsApp, email and notes, with ☐ and ☑ boxes |
| Markdown (.md) | Notion, Obsidian, GitHub and other Markdown apps |
| Calendar (.ics) | Adding due dates to Google Calendar, Apple Calendar or Outlook |
| Print / PDF | Paper copies and documents |
You can also import: a backup file, a CSV exported from a spreadsheet, or any text or Markdown list.
Repeating tasks, due dates and dependencies
Open a task with the ✎ button to set it to repeat every day, every weekday, every week, every month or every year. When you tick a repeating task, the next one is created with the next due date, so routines such as “water plants” or “pay rent” never fall off your list. Monthly tasks keep the same day of the month, and end-of-month dates are handled correctly.
The Do this after setting links a task to one that should come first. It is a gentle reminder rather than a lock: you will see a note if you tick a task before the one it depends on.
Due dates are shown as Today or Overdue when it matters, and the counters at the top of the checklist show how many tasks are overdue and due today. Use the status filter to see only tasks due today, in the next seven days, or overdue.
Tips for checklists that actually get done
- Start each task with a verb. “Book venue” is clearer than “Venue”.
- Keep tasks small. If a task takes more than an afternoon, break it into subtasks.
- Use only a few high priorities. If everything is high, nothing is.
- Give dates to the tasks that need them, not to everything. The overdue counter then means something.
- Review once a week. Clear completed tasks, shift dates with List settings, and save routines as templates.
Common problems and fixes
My checklists disappeared
Your work is saved in this browser only. It is lost if you clear site data, use a private window, or open the page in a different browser or device. Export a full backup now and then, and import it on any new device.
I added a task but cannot see it
A search or filter is probably hiding it. Press Reset next to the filters.
The share link does not open the checklist
Some chat apps cut very long links. For big lists, send a backup or CSV file instead. Very old browsers may also fail to open compressed links.
The printout includes the website
Use the Print button inside the tool rather than your browser menu. It prints only the checklist.
Dates show one day off
The tool uses your device's local date. Check that your device's time zone is correct.
Who uses this checklist maker?
- Individuals and families for routines, cleaning, shopping, moving house and travel.
- Students and teachers for revision plans, assignments and classroom routines.
- Small businesses for opening and closing procedures, onboarding and quality checks.
- Event planners for weddings, conferences and volunteer events.
- Freelancers and teams for client onboarding, launches and release checklists.
- Restaurants, landlords and technicians for food safety logs, inspections and maintenance rounds.
Privacy and limits
Everything you type stays on your device. Checklists are saved in your browser's local storage and are never sent to Orixiva's servers. Share links carry the checklist inside the link itself; anyone who has the link can read that checklist, so do not share links that contain private information.
There are no accounts, so there is no automatic sync between devices. Use the backup file to move your work. The templates are general guides and are not a substitute for professional, legal or safety advice for your situation.
How we tested it
We tested the checklist maker in Chromium-based browsers at desktop and phone screen sizes, including adding tasks with every shortcut, pasting multi-line lists, creating checklists from templates, the board view, bulk actions, undo and redo, every export format, importing files back, share links and printing. We also checked that the tool keeps its own look when placed inside a WordPress theme. If something does not work in your browser, please tell us in the comments which browser and device you use.
